This Third-Party Supplier Policy explains how The Bengal Logistics Ltd. works with third-party suppliers, vendors, service providers, contractors, and local partners to deliver travel, logistics, business tourism, MICE, BPO, documentary, project support, transport, and field services.

By confirming a booking or using our services, you acknowledge and agree that some parts of the service may be delivered, supported, or affected by third-party suppliers.

Although we may coordinate, recommend, book, or communicate with suppliers on behalf of the client, we do not fully control their internal operations, staff, policies, pricing, decisions, equipment, safety practices, service standards, or cancellation rules.

6. Supplier Information and Accuracy

The Bengal Logistics Ltd. may share supplier-related information with clients, such as hotel details, vehicle information, venue descriptions, route estimates, baggage rules, service inclusions, or availability updates.

We try to provide accurate supplier information based on what is available at the time.

However, third-party information may change without notice.

8. Supplier Payments and Deposits

Some suppliers may require advance payment, deposit, full payment, or non-refundable booking confirmation.

  • Field staff

Once payment is made to a third-party supplier, that amount may become partly or fully non-refundable according to the supplier’s own policy.

The client is responsible for supplier-related payment requirements that are necessary for the confirmed service.

9. Supplier Cancellation Policies

Each third-party supplier may have its own cancellation policy.

Supplier cancellation policies may vary depending on:

  • Supplier type
  • Booking date
  • Travel date
  • Season
  • Group size
  • Service value
  • Destination
  • Event date
  • Custom preparation
  • Non-refundable supplier deposit
  • Government or administrative condition

If a client cancels a confirmed service, supplier cancellation charges may apply.

The Bengal Logistics Ltd. is not responsible for refunding supplier payments that are non-refundable under the supplier’s own policy.

10. Supplier Refunds

Refunds involving third-party suppliers depend on the supplier’s refund policy and decision.

If a supplier provides a refund, The Bengal Logistics Ltd. may return the refundable amount to the client after deducting applicable charges, such as:

  • Bank fees
  • Transfer fees
  • Currency conversion charges
  • Administrative costs
  • Supplier cancellation charges
  • Work already completed
  • Other actual costs incurred

If a supplier does not provide a refund, The Bengal Logistics Ltd. cannot guarantee refund of that supplier’s portion.

11. Supplier Changes or Substitution

Sometimes a supplier may become unavailable due to reasons beyond our control.

  • Vehicle breakdown
  • Driver illness
  • Venue cancellation
  • Vessel unavailability
  • Guide or interpreter unavailability

In such cases, The Bengal Logistics Ltd. may try to arrange a suitable alternative supplier where possible.

The replacement supplier may differ in price, quality, location, brand, timing, capacity, or service condition.

If additional cost applies due to supplier substitution, the client may be responsible for the difference unless otherwise agreed in writing.

12. Supplier Delays

Third-party suppliers may sometimes experience delays.

Supplier delays may involve:

  • Hotel check-in delay
  • Venue setup delay
  • Catering delay
  • Flight delay
  • Boat or vessel delay
  • Guide or interpreter delay
  • Equipment delivery delay

The Bengal Logistics Ltd. will try to coordinate and minimise disruption where possible.

However, we are not responsible for loss, missed meetings, missed flights, inconvenience, additional costs, or project delay caused by third-party supplier delay beyond our reasonable control.

13. Supplier Service Quality

We aim to coordinate with reliable suppliers. However, service quality may vary based on supplier category, destination, budget, availability, season, and local conditions.

Supplier quality issues may include:

  • Hotel room condition
  • Food taste or catering standard
  • Vehicle comfort level
  • Driver behaviour
  • Venue facilities
  • Internet speed
  • Equipment performance
  • Staff professionalism
  • Language ability
  • Local service limitations
  • Maintenance issues
  • Cleanliness concerns

If a client experiences a supplier-related issue, they should inform The Bengal Logistics Ltd. as soon as possible so we can try to assist, communicate with the supplier, or arrange a practical solution where possible.

14. Hotel and Accommodation Suppliers

When The Bengal Logistics Ltd. coordinates hotel or accommodation arrangements, the final service is provided by the hotel or accommodation provider.

Hotel policies may include:

  • Check-in time
  • Check-out time
  • Room category rules
  • Extra bed charges
  • Breakfast policy
  • Cancellation terms
  • Guest ID requirements
  • Smoking policy
  • Damage policy
  • Security rules

The Bengal Logistics Ltd. is not responsible for hotel management decisions, room allocation, maintenance issues, guest behaviour, service delays, food quality, or facility limitations beyond our control.

17. Guide, Interpreter and Field Support Suppliers

Guides, interpreters, field assistants, fixers, and local coordinators may be arranged depending on the service scope.

Clients should treat all guides, interpreters, drivers, vendors, and field staff respectfully.

The Bengal Logistics Ltd. may replace or remove a supplier if serious conduct, safety, or quality concerns arise, subject to availability.

18. Government, Institutional and Permission-Related Suppliers

Some services may require coordination with government offices, institutions, local authorities, private organisations, project offices, or property owners.

The Bengal Logistics Ltd. may assist with communication, documentation, or coordination where agreed.

However, we do not control decisions made by:

19. Client Responsibilities Regarding Suppliers

Clients are responsible for cooperating with third-party supplier requirements.

Clients should:

  • Meet supplier deadlines
  • Follow hotel, airline, venue, and transport rules
  • Arrive on time for scheduled services
  • Respect supplier staff and property
  • Pay additional charges caused by client changes
  • Avoid damaging supplier property
  • Follow safety instructions
  • Inform The Bengal Logistics Ltd. immediately about supplier issues
  • Avoid direct changes with suppliers without notifying us, if the booking was arranged through us

If a client causes supplier loss, damage, delay, cancellation, or penalty, the client may be responsible for the resulting cost.

20. Supplier Property Damage

Clients are responsible for damage caused to supplier property by themselves, their guests, delegates, staff, or participants.

Supplier property may include:

  • Hotel rooms
  • Vehicles
  • Boats or vessels
  • Venue furniture
  • Event equipment
  • Audio-visual equipment
  • Rental equipment
  • Documents
  • Field equipment
  • Property owned by local partners

Any damage charge, penalty, repair cost, replacement cost, or compensation required by the supplier may be payable by the client.

21. Supplier Safety Rules

Third-party suppliers may have their own safety rules.

These may include:

  • Boat safety instructions

  • Hotel security rules
  • Venue emergency rules
  • Equipment usage rules
  • Restricted area rules
  • Food safety rules

Clients must follow supplier safety instructions.

The Bengal Logistics Ltd. is not responsible for injury, loss, penalty, or service denial caused by ignoring supplier safety rules.

22. Supplier Communication

For services arranged through The Bengal Logistics Ltd., clients should communicate major changes, complaints, or requests through our team unless direct communication with the supplier is agreed.

This helps avoid confusion regarding:

Clients should not misuse supplier information, bypass agreed coordination, or use confidential supplier details for unauthorised purposes.

The Bengal Logistics Ltd. may protect supplier relationships, negotiated rates, and operational arrangements as part of its business practice.

24. Supplier Complaints

If a client has a complaint about a third-party supplier, the client should notify The Bengal Logistics Ltd. as soon as possible.

The complaint should include:

  • Booking or service details
  • Supplier name, if known
  • Date and time of issue
  • Description of the problem
  • Supporting photos or documents, if available
  • Names of persons involved, if applicable

We will review the issue and may communicate with the supplier to seek clarification or a practical solution.

However, the final resolution may depend on supplier policy, evidence, service usage, and actual circumstances.

25. Limitation of Liability for Supplier Actions

The Bengal Logistics Ltd. is not liable for loss, damage, injury, delay, cancellation, poor service, misconduct, price change, or policy change caused by third-party suppliers beyond our reasonable control.

This includes, but is not limited to:

  • Airline delays or cancellations

  • Driver conduct

Where legally applicable, our responsibility is limited to reasonable coordination assistance and the amount paid directly to The Bengal Logistics Ltd. for the relevant service component, unless otherwise required by law.

26. Force Majeure Affecting Suppliers

Third-party suppliers may be affected by force majeure events.

These may include:

  • Heavy rain
  • Fire
  • Pandemic or epidemic
  • Political unrest
  • Strike
  • Road blockade
  • Transport shutdown
